Active freight railway undertakings must accept and sign the relevant RailData User Agreement, meet the service-specific minimum data/usage commitments and pay the applicable integration and usage fees.

Multiple options are supported including SFTP and REST API connections, plus vendor interfaces; RailData provides testing, configuration and remote operational support.

Access is controlled by role‑based filters that determine which railway undertakings can see particular wagon, consignment or train information depending on their role in a transport and their relation to the wagon. User account roles and permissions in the RailData Web Center application further limit functions and views to authorized staff, and audit/logging and inter‑RU agreements govern data sharing practices.

New users pay a one‑time integration fee and annual usage fees scaled by interface type and message volume, with reduced options for small users and pro‑rata charging during the first year.

A staged process with test environment setup, communication and application tests, followed by production configuration once tests pass.
